CCS News

FEBRUARY 18, 2011

FROM THE COMPUTER ROOM:
BiblioCommons –A handful of libraries have launched BiblioCommons to the public. More will follow in the coming weeks. This is very exciting. As we are now in production, bugs and other “failures” will be given top priority. Configuration changes and questions will be dealt with in due course. If a matter is quite urgent, it would be a good idea to accompany it with a phone call to the computer room. We are ALL still learning a lot about this new product and it capabilities. We test and play with it constantly and we know you are doing the same to increase your knowledge.

BiblioCommons and WonderDesk - based on your questions to the WonderDesk – we are developing a set of FAQ’s for BiblioCommons. You can look at those topics by choosing the FAQ link in WonderDesk. Also it is a good time to remind you that ANY problems for BiblioCommons must be accompanied by the browser, bibliographic record and patron information. If you are not able to send the patron information, then replicate the problem with a test patron and send us that information.

BiblioCommons and ePay – There is a bug where BiblioCommons users using ePay will be allowed to pay accrued fines. This should not be allowed. We are working on fixing that problem. (More from Bob follows) For those libraries that have gone live with Bibliocommons and use Illinois EPAY, an issue has been identified such that a patron is allowed to pay accruing fines through the Bibliocommons interface. Accruing fines are not bills and such do not appear on the bills tab in the Display User wizard. In these cases the patron is paying on amounts that are not removed from the Sirsi patron record. Until this is resolved you can check each patron's record against the Epay Confirmation email and/or use the ‘Failed Epay Payment' report on the web. These failed transactions are easily indentified on the report, as these are listed without a BILL #.

BiblioCommons and eResources – we have asked for a quote to deal with the situation where URL’s for eResources need to be displayed from Marc Holdings Records.

Computer room maintenance – on Tuesday all went well with the change of battery in our network appliance

Overdrive outage – on Wednesday while working with one of the library’s network consultants we were told that the a specific port was no longer in use for that library. Well that was not true and we inadvertently disconnected some Overdrive users. We got Overdrive connected again just as soon as you reported the outage. Apologies and thanks for alerting us.

AUTHORITIES NEWS:
Last week, CCS sent a file of 6917 bibliographic records to Marcive for authorities processing. 2424 updated records were returned as well as a file of 3298 new authority records. All records have been reloaded into our system.

FROM THE COMPUTER ROOM:
Battery replacement - Our network will be down from ½ hour to 1 hour the morning on February 15. This is to replace a battery on one of our units. The outage will occur at 7:30am. We will let you know when the work is complete but you might want to reschedule your “early bird” tech services staff accordingly.

BiblioCommons – our soft launches continue to take place. At present Northbrook and Round Lake have launched BiblioCommons to the public. Many libraries will follow in February and March.

Another light week... stay warm!!!

FROM THE COMPUTER ROOM:
Storm of 2011 - We all managed through the great storm of 2011. We are please to say that all systems ran well while we were absent from the computer room Tuesday night through Wednesday night. Our Webley system worked well and we were able to monitor the power situation remotely.

WonderDesk – Reminding you that all issues needing action on our part need to be reported through the WonderDesk.

And that’s it for this week, short and maybe even sweet. One to remember for sure, thankfully not for reasons related to CCS!

JANUARY 28, 2011

FROM THE COMPUTER ROOM:
BiblioCommons – a good deal of energy is being spent on making sure all computer room staff are trained and ready to help you with BiblioCommons. Please help us by ensuring that all problems with BiblioCommons are logged to the WonderDesk. If they come through a private email the might get lost. We process about 200 emails each every day – but the WonderDesk incidents are reviewed regularly even if we don’t get to them all. All WonderDesk incidents must have complete particulars about a problem. Patron barcode, item barcode, item ISBN, browser and library’s interface used and exact steps that got you to the problem are needed. Thanks!

AUTHORITIES NEWS:
Earlier this week, CCS loaded 2 files that were obtained from Marcive. One file contained 2230 updated authority records and the other file contained 394 authority records that were needed, but not available until now. What does this all mean to the CCS database? An up to date database that includes all available individual death dates, current references, and subject headings.

CCS Authorities Librarian

THANKS to Amy Holcomb, Juli Janovicz and Eric Robbins for excellent jobs doing their parts of the BiblioCommons training!

FROM THE COMPUTER ROOM:
3.3.1 Delay – you might have seen this on the listserv. Due to a bug found in the indexes, our upgrade to 3.3.1 will be delayed until May, so please stay tuned to listservs for exact plans. This will have no adverse on our BiblioCommons rollouts early in spring. In fact, staying on the old release helps to ensure stability for our introduction of BiblioCommons as we have been testing the 3.2.1 connection for some time.

BiblioCommons News - significant progress has been made. We have seen BiblioCommons improve our faceting for adult/juv/teen materials, Overdrive consortia are now being accessed properly, and our registration problems have been fixed. There are still some problems correcting a birth year that has been incorrectly set and in the next build at the end of the month the hold queue position should be turned off. As you roll out BiblioCommons, please remember to log any issues to the WonderDesk and we will work with BiblioCommons to remedy the situation.

CCS MEETING NEXT WEEK:

Wed., 1/26, 10:00, Crystal Lake: Regular And Annual Governing Board Meetings

Thur., 1/27, 9:30-noon and 1-3:30, Glenview: BiblioCommons Training (you must be registered; classes are full!)

JANUARY 14, 2011

FROM THE COMPUTER ROOM:

What is Unfuddle? - “Unfuddle” is the name given to the incident tracking system used at BiblioCommons. When you report a problem with BiblioCommons to the CCS Wonderdesk we might respond with a message that we reported the issue to BiblioCommons in Unfuddle (or UF or BC)# 12345. We keep track of all requests in our tracking system and theirs until the issue is resolved. Please be sure all incidents contain complete information. If you are reporting an issue regarding content please include the ISBN of the title in question.

Release 3.3.1 – Please stay tuned to the listservs for news about our upgrade. The planned date at this time is after closing the evening of February 1. During the evaluation phase we were advised that a [lengthy] index rebuild will need to take place after the upgrade. We are working on figuring out the timing of all the processes.

FROM THE COMPUTER ROOM:
Firewall Cleanup: As mentioned at the last two Maintenance Coordinators meetings, I have begun the task of cleaning up the firewall. This week Zion-Benton was updated, with no problems encountered as of this post. I will send you an email the day before I make the change just so you can be aware of it and in case of any problems with connections to the servers arise. Please make sure you reply by the end of the day, when I send an email about the change, to make sure I know you are aware, and also know if you will be at the library the next day when the change takes effect. If you have any questions or concerns please contact me (Frank Correa) ASAP.

Mega Printers:
We don’t have Mega Ball, but we still have two ‘Mega Printers”. This may be your last chance to see if your library is in need of any Line Matrix Printers, (800 LPM ). We still have 2 available for any CCS library that may need them. Please let someone in the computer room know if you are still interested, or send me (Frank) an email. The 2 printers are Genicom 4840e models.

CCS MEETINGS NEXT WEEK:

None, but we hope to see some of you at ALA Midwinter! Remember, the Circ meeting will be Jan. 21 at Glenview.
