MAY 27, 2011

FROM THE COMPUTER ROOM:

UPGRADE TO 3.3.1 – The upgrade itself in the night went well (Thank you Bob and Rory!). Then the excruciating business of client upgrades commenced and we were in agony along with those reporting 1-2 hour download times. We are exploring what caused the bottleneck with download times. On the good side, many libraries have been upgraded completely and NO problems with the release have been reported at all!!!!

INDEX REBUILD (UPGRADE TO 3.3.1 Part 2
) - In order to rebuild the indexes, SVA will be turned off on Sunday May 29 at 9:15 pm until Tuesday May 31 at 8am. BiblioCommons functions may be limited between May 30 1:00 am until May 31 8:00 am.

Symphony will be taken down completely on Monday (Memorial Day) in the small hours of the morning for index rebuilding through the day.
Indexes should be complete by 11pm on Monday night and we will put the system back up as soon as indexes are actually finished. We will of course plan to build through early Tuesday morning if the necessity arises.
BiblioCommons will be available for searching but no holds, or status information will be available while Symphony is down.
This schedule allows for nearly minimal impact on reports, notices and other offline processes, except SVA would not be calling out on Memorial Day.

Libraries may wish to update their message in BiblioCommons to indicate reduced functions during the index rebuild. All systems will return to normal by Tuesday 8am.

NAME REFACTOR REPORT (Upgrade to 3.3.1 Part 3)– At this time we now plan to run the name refactor process in the wee early hours of TUESDAY June 7. If you recall, this separates names into fields first, last, middle. The process will be complete by 8am on that morning. Once we run this report you MUST be using the new client, so please be sure to have all the workstations upgraded to the 3.3.1 client in advance of that date.

BIBLIOCOMMONS AVAILABILITY–
BiblioCommons has reported that they have fixed the issue with availability. For Symphony systems an additional correction process has been added to catch availability synchronization errors that were not caught by the normal process. Availability should be updated hourly, but anything that is missed should be corrected overnight. So, you may find the availability in search out of sync with the real-time availability for a few hours, but it should never be out of date for more than a day.

AUTHORITIES NEWS:
Last week, CCS loaded 2 files that were obtained from Marcive. One file contained 1835 updated authority records and the other file contained 476 authority records that were needed, but not available until now.

FROM THE COMPUTER ROOM:
Upgrade to 3.3.1 – our upgrade plans are in place and we will be moving to Symphony 3.3.1 while most people are still asleep the morning of Tuesday, May 24. We are concentrating all time and effort on the upgrade as of this writing. Please stay tuned to the listservs for news.

SVA upgrade – this occurred on May 17 – it went well and rate of speech for the mechanical voice has improved. Thanks to Frank and SirsiDynix!

And a little more about the SVA server upgrade from Frank Correa (who coordinated the project):
The new SVA server went live on Tuesday and with no major problems. One thing that has changed is that the patron’s ID and name are now heard back a little slower, and a bit more clearly than the previous version. As always, if patrons report problems, or a library encounters a problem, please let the Computer Room staff know.

GOOGLE ANALYTICS FOR BIBLIOCOMMONS STATS:
With some valuable assistance from Northbrook, Bob Barth has put together an excellent package of BiblioCommons statistical reports for each library using Google Analytics. They are accessible via CCS Web Reports (which will have a new menu as of Monday). Bob gave a demo at the May 19 PAS meeting. If you did not have a representative there, you should have someone from your library contact Bob before month’s end to get a quick tour and access information. It’s impressive!

LIBRARY CLOSING:
The Huntley Area Public Library will be closed Monday, May 30th in observance of Memorial Day, and Tuesday, May 31st through Friday, June 3rd for renovations. During this time, some computers and shelving will be relocated and upright, easier-to-browse DVD shelving purchased from closing Borders Bookstores will be installed. The DVD shelving was purchased at a fraction of the cost of new shelving with funds generously donated by the library’s Friends Foundation.

FROM THE COMPUTER ROOM:
SVA Server Status:
The new SVA server is on schedule to go online Tuesday May 17. The phone lines will be transferred over to the new server at 7:00 AM. Please let us know of any problems that may be reported throughout the day. We hope this is a transparent move, and have prepared as best we can.

Network Scan:
Tuesday we had our annual network scan, and are waiting for the results. This is done yearly to make sure we have all our current security measures in place. Once the reports are presented to CCS, we will see what changes (if any) may need to be made. From what was gathered, not much needed to be “tweaked.”

MAKEOVER FOR CCS WEB REPORTS PAGES: The CCS Reports Web Pages are undergoing a cosmetic makeover. Beginning Monday May 23rd, the CCS Reports Web pages will display a new look. Be assured that the content is the same; that won’t change. The functionality of the links won’t change either, with one exception. The change is strictly cosmetic, with that one exception being that the links on the Sirsi Reports Archive page will now function exactly like those found on the Sirsi Finished Reports web page, in that links on the Sirsi Reports Archive page will open the report or notice using Microsoft Word (or your station’s default document editor or document viewer).

FROM THE COMPUTER ROOM:

SVA Server

The new SVA server has arrived and is mounted and almost ready to launch. We are targeting the date of May 17 to go live. Today we are getting a security scan done and next week any tweaking of the server will be done. Once that is complete, we will be ready to switch over the eight phone lines, and go live on Tuesday morning. We don’t expect any issues, but please let us know if you receive any calls or problems with accessing the service.

BiblioCommons

BiblioCommons has fixed the problem with multi-volume holds being filled incorrectly. Please let us know if you experience further trouble with multi-volume holds.

Upgrade to 3.3.1

We are still planning our upgrade to occur the evening of May 23 (after the libraries close). That means you will be loading new clients on Tuesday morning. We expect everything to go well but it is always a good idea to have your offline procedures ready just in case you would need them on Tuesday morning.
