CCS News

FEBRUARY 1, 2008

We’ll keep it short this week. Congratulations to all on surviving January!

FROM THE COMPUTER ROOM:
Java Client – We can tell that Java training is going well because of the number of questions coming to the Wonderdesk regarding Java. When reporting a problem via the Wonderdesk it is IMPERATIVE that you indicate if the problem was in the C client or the Java client. Thanks!

Staffing – we are still looking for the perfect person to join our CCS staff in the computer room. Although we try to solve everything as quickly as possible, thanks so much for your patience with our (short) staffing situation until a new person gets onboard.

FROM THE COMPUTER ROOM:
Computer Room Work - Work on the computer room racks was postponed this week. We will work with the vendor to establish a new date after Java training is complete.

Help Wanted! – We are interviewing to replace Glenn in the computer room. If you know the perfect person please have them contact Bonnie or Linda - or send a resume to hr@ccs.nsls.lib.il.us

DID YOU KNOW?

Did you know it’s possible to open more than one wizard in the Java client and view the windows side-by-side, cascaded, or top-to-bottom - much as you can with the C client? At first glance this feature doesn’t seem to be available in Java, but multiple windows display can easily be added if you follow a few simple steps to place the “Window” drop-down list on the main Java menu bar. If you want to try it, I’ve created a document that explains how to set this up and posted it to the CCS web page. Go to the Sirsi Resource Page and look for the title “Multiple windows display in Java”, under the heading Documented Procedures. (Note to users who have an earlier version of this document: The instructions just added to the CCS page have been revised to include some helpful comments from Chris Diez at Evanston.)

Also: I will be out of the office Monday through Thursday for the next two weeks (January 28-31, and February 4-7), coordinating the Sirsi Java training sessions at Northbrook. I will check my email as often as possible, but I may not be able to respond to all messages in a timely manner. And I won’t be able to write a Did You Know item for CCS News while I’m gone. But I am looking forward to seeing everyone who will be attending the Sirsi classes at Northbrook. – Ken Victorson

CCS News

JANUARY 18, 2008

FROM THE COMPUTER ROOM:
iBistro Outage Sunday Jan 13 - We are still in the process of gathering details, but the downtime on iBistro Sunday was likely due to a script designed to overload our iBistro server by making an enormous number of connections. This is a good time for each library to do a “health-check” of your network and be sure that wireless access is secure and your firewall settings are set to stop an outgoing syn-flood attack (if they have that feature).

Racks – in case you missed it in last week’s CCS NEWS, we have scheduled the morning of Wednesday January 23 for further work in the computer room. At that time we will be moving the SVA machine, Director’s Station machine and the iBistro machine into permanent cabinets. This work will begin very early and iBistro,SVA and Director’s Station will be brought down briefly sometime after 5:30am and should be up by 8am with Director’s Station coming up slightly later that morning. We will keep you posted on our progress. When SVA is scheduled to be down we route it to a message that says it is temporarily unavailable.

Goodbye to Glenn – Glenn Galang’s last day with us will be Friday. We wish him well! If you know of someone suitable to fill the opening that we have at CCS please have then send a resume to hr@ccs.nsls.lib.il.us.

AUTHORITIES PROCESSING UPDATE:
CCS sent approx. 3730 bibliographic records to Marcive on Wednesday, Jan. 16th for Overnight Authorities Processing. The records have been processed and were reloaded into our system, so full cataloging may resume. Of the 3730 bibliographic records, Marcive returned 1276 updated bibliographic records. Marcive also sent us 1606 new authority records. CCS will be sending groups of records for processing each month, so that our database will be kept up to date as much as possible.

ALA MIDWINTER GLEANINGS:

The ALA Midwinter conference in Philadelphia didn’t bring any bombshells or surprising new trends, just more of the same (more open source and RFID exhibits, another nice reception hosted by Sirsi’s Rick Branham). It was nice to visit with former Sirsi CEO Pat Sommers at the Gale booth; as anticipated, he’s enjoying working in a content-oriented environment.

A couple Sirsi notes from the conference:

*We were advised not to proceed with “plain vanilla” Release 3.2, but to wait for 3.2.1, due for general release in April. It will include the promised features (mostly Horizon-related or -derived) that didn’t make it in into the 3.2 build) and will be the first update to 3.2, with no intervening Patch Clusters. (Anyone who wants to load the first build of a major new release should contact me ASAP about an attractive offer I have for some prime available swampland and a bridge or two.) The Family Card and credit balance functions and the drastically revamped Materials Booking module looked nice as demo’d.

*I went to the Free Library Of Philadelphia. The last time I was there was for a splashy Sirsi ROOMS OPAC product rollout. This time when I went to an OPAC terminal, I couldn’t help noticing that they’re running AquaBrowser. – Richard Shurman

DID YOU KNOW?
Did you know that there’s a reason why some patron’s holds will consistently take longer to fill than others? If a patron complains about waiting a long time for an ILL item, and the hold date indicates they should probably have received it by now, one of the first things to investigate is the patron's User Profile (AKA Profile Name). If the person is an in-consortium CCS patron, but has incorrectly been given a User Profile of PUBLIC (instead of the usual XXXPUBLIC or XXXPATRON), s/he will be assigned the lower, out-of-consortium hold rank of 150. Patrons with an XXXPUBLIC/PATRON profile will be assigned a hold rank of 125 and will always have a higher priority in the hold queue. The PUBLIC patron’s holds will be placed *after* anyone waiting for the same item with hold rank 125 - even if these holds were placed after the PUBLIC patron’s. Checking the patron’s Profile is easy in WorkFlows. Whether using the C client, or the Java client, the Profile Name is the second item listed in the Summary tab of the Display User window (the default tab when you select the Display User wizard). This is an excellent example of why front-line Circulation staff need to pay close attention to *every* field when creating user records!

Note: Changing the patron’s User Profile will NOT affect the hold rank of any holds that patron has already placed under the PUBLIC profile. It will only correct the problem for future holds. – Ken Victorson

CCS News

JANUARY 11, 2008

FROM THE COMPUTER ROOM:
Recent projects completed – our installation of the latest patch for Workflows went well and Tuesday night and we were ready to roll by 8am. We also installed the new T1 at CCS headquarters on January 4 early in the morning and did some tweaking of our packet shaper at that time. It was good to have the extra bandwidth when Java clients were being downloaded. Thanks to Bob and Glenn for working on these projects.

Open position – Have you heard that Glenn will be leaving us on January 18 to go to Lake Villa?. We will miss him but wish him all the best! If you know of anyone that would be interested in applying for our open position please send the resume along to hr@ccs.nslsilus.org or directly to Linda or Bonnie.

Computer room work early on Wednesday January 23 – we have scheduled the morning of Wednesday January 23 for further work in the computer room. At that time we will be moving the SVA machine, Director’s Station machine and the iBistro machine into permanent cabinets. This work will begin very early and iBistro, SVA and Director’s Station will be brought down briefly sometime after 5:30am and should be up by 8am with Director Station coming up slightly later that morning. We will keep you posted on our progress. When SVA is scheduled to be down we route it to a message that says it is temporarily unavailable.

DATABASE SENT OFF FOR BATCHLOADING:

On January 10 we sent our bibliographic database out as part of the statewide batchload.

DID YOU KNOW?

Did you know that I have several important reminders I want to share with the CCS community? The first is aimed at the people who will be participating in the Sirsi Java training classes at Northbrook. To help these folks prepare for the Sirsi classes, I’ve scheduled three Java Essential Skills training sessions for attendees who have little or no experience with the Java client. The sessions are to be delivered as follows:

Northbrook Library - - Wednesday, January. 16th, 9:30 AM to noon

Des Plaines Library - - Friday, January 18th, from 9:30 AM to noon

Ela Library - - Tuesday, January 22nd, from 9:30 AM to noon

These sessions are intended for anyone registered for a Sirsi Java class who lacks the necessary basic skills to participate in the training, but others may “tentatively” sign up as well, if space permits. I encourage everyone who’d like to learn the basics of using the Java client to signup as soon as possible - with the understanding that those registered for a Sirsi Java training have first priority.

The second reminder concerns your library’s timetable for implementing the Java client. Not all libraries have indicated if a final decision has been made about whether they’ll be in Phase I (migrating during the first quarter of 2008), or Phase II (waiting until the third quarter of 2008 or later). If your library intends to implement during Phase I, you should be sending staff to the Sirsi Java classes that will be held at Northbrook in the next 4/5 weeks. Please contact me as soon as possible if you want to register anyone for a class, and also let me know when you plan to implement the new client. Here’s the schedule of Java classes Sirsi will be delivering at Northbrook.

For the week of January 28 to 31, 2008 (Monday to Thursday) the following sessions will be conducted in the Northbrook Library training room:

Cataloging - - Monday, January 28 (9:00 AM to 4:30 PM)

Circulation - - Tuesday, January 29 (9:00 AM to 4:30 PM)

Serials Part I - - Wednesday, January 30 (9:00 AM to 4:30 PM)

Serials Part II - - Thursday, January 31 (9:00 AM to 4:30 PM)

For the week of February 4 to 7, 2008 (Monday to Thursday) the following sessions will be conducted in the Northbrook Library training room.

Circulation - Monday, February 4 (9:00 AM to 4:30 PM)

Cataloging - Tuesday, February 5 (9:00 AM to 4:30 PM)

Acquisitions Part I - Wednesday, February 6 (9:00 AM to 4:30)

Acquisitions Part II - Thursday, February 7 (9:00 AM to 4:30 PM)

The final reminder is about following-up on Java printing issues. A number of libraries have been working with the Computer Room to deal with Java receipt printer problems and many have been resolved locally by library staff. But not everyone has taken the last step and told CCS how they ultimately corrected their problem. We’re trying to create a comprehensive database of known Java printing issues and how to fix them, but it’s not as complete as it should be, partly because of this lack of closure. If you’re successfully printing with Java, please notify the Computer Room of any fixes you developed when setting up your receipt printers.

CCS News

JANUARY 4, 2008

Happy New Year to all! Here’s hoping it’s a great one for all of us and CCS...

FROM THE COMPUTER ROOM:

New Router from ICN – by the time you read this a new router card should be installed on our ICN router providing additional bandwidth. This was done the morning of Friday January 3.

Tuesday Jan 8, is planned date for Patch cluster 5D
– we are still planning to install patch cluster 5D to the production machine during the early hours of Tuesday January 8. We will start in the wee early hours of the morning so that the work is completed by 8 am. We will send out the customary messages. Please see Ken’s column for more details.

DID YOU KNOW?
Did you know that the Computer Room is tentatively scheduled to install Patch Cluster 5A-D on the production server on Tuesday, January 8, 2008? The update will be done early in the morning of the 8th and WorkFlows will be up and running by 8:00AM that day. We will send out a general announcement that the update has been successfully installed so you can look for the changes associated with it.

Issues to be aware of with this upgrade:

- - When you login to production WorkFlows (using the Java client) after the patch upgrade, a message will display asking if you want to update the Java client. You DO want to upgrade the client, but in order to do it you must have started that PC with a login/password that has Windows Administrative privileges (as opposed to WorkFlows ADMIN privileges). If you have Windows Administrative privileges, and are using the Java client for day-to-day operations, you should say “Yes” to the upgrade question and follow the usual steps to complete this process. (If you are not familiar with this procedure, see document: “Java Client Update Guide - GL3_1 Jan 2008” on the CCS web page for step-by-step instructions).

- - We recommend that each library stagger their client upgrades on the morning of the 8th to minimize the impact on the network for everyone else. No more than 2-4 machines should be updated at the same time.

- - If you DO NOT have Windows Administrative privileges on your workstation, say “No” to the upgrade request and ask your library’s Maintenance Coordinator to login to your machine and run the update for you.

- - Note: If you open WorkFlows with the C client after the patch installation, you will not need to update the client.

- - If you volunteered to help test the Patch Cluster and have not yet sent me your results, please wrap-up any last minute tests you may have and let me know if you found any problems. So far, the input from the testers has been positive.

- - If you’ve been testing Patch Cluster 5A-D on the test server, you’ve been told to answer “No” to the Update Client message whenever you switched back to the production server to do your daily work. Once the patch is installed on production you can (finally) say “Yes” to the update question. From that point forward, both the test server and the production server will be in sync and you will not have to go through the client update again. (Until the next new release from Sirsi.) – Ken Victorson
