CCS News

SEPTEMBER 21, 2007

FROM THE COMPUTER ROOM:
Emailing of reports – the problem with emailing of reports is now solved. If you followed this with us you will note that we explored and “tweaked” several components of the system in the pursuit of the problem and the final fix was in a configuration file for our email.

Printed Notices – the changes to move the barcode out of the address window are now complete.

Printed Reports – One of our initiatives in the coming weeks will be to reduce printed reports that are sent to you by van. We will be changing our night operator procedures to effect the change. This change is being implemented as a result of a survey we took in the spring. Your reports will still run but will be available via Workflows or the CCS Web pages instead of printed on the line printer. Printed notices (for overdues, bills, holds, etc) will not be affected at this time. We will keep you posted on this project via the listserv and CCS News.

DID YOU KNOW?
Did you know that several libraries have recently asked CCS to run the Patron Purge program for them, but didn’t know we have specific criteria the records must comply with before they can be purged? In order to make your patron purges run more smoothly in the future, here are the standards that records must meet before they can be successfully purged:

- There can’t be any unpaid bills associated with the record.
- There can’t be any current checkouts on the record.
- There can’t be any active holds on the record.
- The User Status must be “OK”.
- The Date Created must not be in last 3 years
- The record must belong to a patron of your library.
- The library must provide a list of the specific Patron Profiles for records that will be included with the purge.
- There can’t be any Serials Control Routings associated with the record.
- There can’t be any open Acquisition Orders associated with the record.
- There can’t be any open Acquisition Distributions associated with the record.

Also: Although there’s not a formal policy, we recommend that libraries keep patron records for three years, so the record should have a Last Activity Date or Expiration Date that’s three or more years in the past. (This period can be less at the discretion of the library.) Libraries may choose whether to use the records Last Activity Date or the Expiration Date as the purge parameter. Ken Victorson
