FROM THE COMPUTER ROOM:
Office Renovation Update:
We are happy to announce that the renovation in the computer room areas is nearly complete after the installation of new tile in the shipping/receiving and storage areas. Once all of our things are moved back, we can breathe a sigh of relief and get back to the “normal” duties at hand.
Network Redesign Update:
We are continuing to work with our consultant on the redesign of our network to ensure its efficiency and security. This redesign will include the move to our new AT&T fiber line, which has been installed but currently being configured for our environment by AT&T and ICN. A timeline for the changeover will be sent out after the configuration and evaluation are complete.
Platform Migration Schedule Reminder:
The migration to our new Workflows production server will occur next week. Tim Hine from SirsiDynix is planning to start at 9:30pm central time on August 12th after all users have logged off of the system. We estimate that the platform migration will be completed by 11:30 pm on the 12th. Once the migration is completed, Tim will email CCS to test the system and prepare to go live. There is no scheduled downtime during library hours for the migration. We expect that the normal reports will be caught up by 9 am on the 13th.
Symphony SP5 Upgrade Reminder:
Please continue to test the new release so we can verify that things work as needed. Specifics about the client upgrade will be sent out to the Maintenance Coordinators group next week.
AUTHORITIES NEWS:
Two files from Marcive were loaded into our system this week. One contained 2630 updated authority records and the other contained 393 new authority records that were needed in our database, but were not available before this time.

FROM THE COMPUTER ROOM:
Server Upgrade:
We plan to migrate over to our new Production Server overnight, between Tuesday, August 12th and Wednesday, August 13th. We expect the new Production Server to be live the morning of August 13th, prior to library operating hours, and anticipate no down time during this process.
Symphony Upgrade:
We will install the Symphony 3.4.1 SP5 upgrade between the end of business on Monday, August 18th and Tuesday, August 19th. We anticipate a couple of hours early Tuesday morning before anyone opens to load this, but will provide more detail between now and then. A client upgrade will be necessary; the usual info about that will follow.
AS A REMINDER, PLEASE HAVE YOUR STAFF TEST SP5 SO WE CAN VERIFY THAT THINGS WORK AS NEEDED. THE SAME FUNCTIONALITY WE WERE EXPECTING TO LOAD IN SP3-4 IS WHAT SHOULD BE TESTED.
CCS Website Password Change:
In keeping with our policy of changing our web site password every four months, the next ccslib.org Members Only page password change will be effective on Friday, August 1, 2014. The password will be generated with a Random Password Generator, and will be eight characters in length containing at least one special character, one numerical character and one uppercase character. Example only: l1bRary!
An email will be sent to shelp-l informing everyone that they may obtain the new password from their designated contact, Director or Maintenance Coordinator as of Thursday, July 31.
Again, the password change will not affect your login into Workflows or to the SirsiDynix Support Site.
A reminder of the password change will be sent again Thursday, July 31, 2014. We will send out the new password that day to the groups mentioned two paragraphs above.
CCS Help Desk Searching:
Search capabilities have been added to the Help Desk for the libraries. The link can be found under the Help Desk tab. Clicking on it will bring you to the search page where you can input a variety of criteria to scan your library’s tickets, both open and closed. If you have any questions on using it, please contact Jim O’Day or Frank Correa.
Listserv Change Requests:
As a reminder, please use the CCS Wonder Desk ticketing system when requesting an addition, change or removal from any of our mailing lists.
Library Closing:
Prospect Heights PL will be closed for a building project on Saturday, August 2nd through Sunday, August 10th. They will not be filling holds starting on July 25th through August 13th.
Boopsie Smart Search:
We are working with Boopsie to implement a regularly scheduled upload of our bib data. This will enable the Boopsie smart prefix search technology, which predicts as you type in the search field, based on our data. This feature will not be available until we make the switch over to Enterprise.

The New Production Server:
SirsiDynix was on site this past week to install our new Production Server; the process went very well. Over the next few weeks we will prepare the server for the data migration which is still scheduled for the evening of August 12th.
SP5 is now loaded:
On Tuesday Symphony Release 3.4.1 SP5 was loaded on the Test Server. If you haven’t already done so, please take a look at the SirsiDynix documentation for SP5, though little changed between SP4 and SP5 other than bug fixes. JULY 11, 2014
FROM THE COMPUTER ROOM:
After ironing out some wrinkles and getting passed some hurdles that were preventing us from deploying SMS in a fully functional manner, specific to the CCS consortium, we have a working plan in place and have developed a custom front and back end registration process that will allow the patron to register themselves for SMS notification. We currently do not have a schedule for the SMS implementation but we will have one soon, as we had our last call today with SirsiDynix regarding this matter and finalizing a solution. We do know that we will need Symphony SP5 in place; see three paragraphs below.
Our new production server has arrived. We are in the process of ensuring that we have met the new server’s power and space requirements prior to hardware staging by Tim Hine from SirsiDynix; that will be done on July 15th through July 16th. This is hardware staging only to ensure the functionality and stability of the new server. Users will not see any of this. The database migration to the new server will be done remotely, by SirsiDynix, on the evening of August 12th and will go live as our new production server the morning of August 13th. During the gap between hardware staging and database migration, our security auditor Jeff Groman (Groman Consulting) will be hardening and securing the new server prior to its deployment. We will have more correspondence about the database migration to the new production server as we get closer to its scheduled date.
Enterprise will be updated to the latest GA6 release on July 15th at 2 AM. The process will take between 2-4 hours. We expect the process should go smoothly and Enterprise will be available again to us prior to our operating hours that same morning.
We will be loading Symphony Service Pack 3.4.1 SP5 on the test server next Tuesday July 15th, starting at 8 AM. We expect the process to take the entirety of the day. Access to the test server, for whatever reason, will not be available during this period and should be available again on July 16th.

BLUECLOUD ANALYTICS STATUS/TESTING:
During the week of the 21st, CCS will begin testing the data extract process for BlueCloud Analytics. In mid-August we anticipate beginning to test some data cube features. A fall release is projected.
ENTERPRISE STATUS:
No sooner had we gotten the good news that Matthew Phillips of SirsiDynix had finished his Enterprise configuration work for us than we started getting reports that searches were returning no results. Further investigation showed that problems with data harvesting and its lack of regularity had corrupted our indexing so badly that it was necessary to restore our Enterprise instance from a June 19 backup. Our later config files were copied, but apparently it was not possible to overlay them onto the June 19 backup. That means that the ensuing config work needs to be re-created, after which CCS has a couple of hours of local customization (particularly Google Translate and availability displays) to add again.
I began rattling cages about this as soon as I got back Monday, and Matthew hopes to have the ten hours or so of work for him done by the first of next week. When that is in place (we will let everyone know), we will put our polish onto his work. By the end of next week, your library should be able to begin any local customization. But please do not do so until we give the green light.
We anticipated that the timetable would include some detours like this, and we are still in fine shape four our September 15 launch. We will have a status report next week on synching eResource Central. Enterprise upgrade GA6 will improve the integration of eRC search results and bring some other improvements; we have posted the Release Notes and will review them at the PAS meeting on the 17th at Fremont. We are expecting the list of prolific content creators from BiblioCommons soon too, and will announce its receipt. (See next item.) So we are still moving forward despite the setback. We and Sirsi are also reviewing backup options and frequency to minimize the chances of a re-occurrence. In any event, we hope to have good news for you early next week, and while this glitch is disappointing, it falls way short of Anxiety Inducement Fodder. Thanks as always for rolling with us, and as we say so often, stay tuned!
LIST OF PROLIFIC CONTENT CREATORS FROM BIBLIOCOMMONS:
We expect BiblioCommons to send us our list of frequent content cdreators by Tuesday, July 22, so libraries who choose to do so can contact those users about the forthcoming changes from BC to Enterprise.
CONGRATULATIONS TO JOANNE HOLMES, who marked fifteen years of full time work at CCS on July 1.
THE COUNTDOWN BEGINS:
The time has come for me to give my notice, not easy since CCS has enriched my life immeasurably and brought me so many of its possibilities over the last twenty-seven years.
I would like to retire as CCS Administrator as of July 1, 2015 and work as a contract employee at a much lower salary and without a formal job title for a limited number of hours next July to write the Narrative Annual Report for FY14-15 and to help my successor and Rebecca transition into the new fiscal year and all that will follow. I am hoping that my successor and I can have some overlap in June, 2015 so I can show him or her a lot of the nuances and introduce him or her around at ALA.
Part of this is certainly about me. I will be 65 next May, and it is time to move on to a more leisurely life (and eventually get away from these Rust Belt winters). But much of it is also about my feeling that I owe a tremendous debt to CCS and want to leave at an optimum time for the organization. I mean that in two ways. First, as far as the annual cycle, the budget will have been completed so a new Administrator (or whatever the position is called by then) won’t get thrown into the most complex exercise of most years immediately, or into updating the Long Range Plan for that matter. Second, a number of major initiatives (Enterprise, new servers, etc.) should be fairly settled and we shouldn’t be amid any massive transitions. My successor will have a chance to get up to speed and involved in strategic visioning before the vendor evaluation exercise is scheduled to commence in spring, 2016.
At the risk of being somewhat of a Lame Duck, I am giving a year’s notice to allow for a deliberate and orderly transition. I am excited about the future of CCS in general, and suspect that younger, fresher eyes combined with some continuity and the usual support from membership will be assets to the organization and that CCS will continue to thrive. I will do all I can do effect a smooth handoff. Thanks to everyone who has made my time at CCS a fabulous experience; I could never have asked for more than CCS has given me and hope I have reciprocated in kind.
Sincerely,
Richard Shurman

FROM THE COMPUTER ROOM:
Offline Self-Check Transactions - In the last few weeks Algonquin and Niles have discovered three bugs with offline self-check transactions:
1) Older versions of the self-check software will print a due date on the receipt that is not posted to the database due to miscommunication with the server. Instead the server uses the circmap to determine the due date, and posts that. The result is that the due date in the database and the due date on the receipt are not the same.
2) If you are running a current version of the self-check software, be aware that the due date sent to the server is posted to the database, therefore the due date on the receipt and the due date in the database match. However, the due date sent by the self-check contains a due time that is not 23:59. What this means is that items are coming due before the end of the day. It is therefore possible that an item returned on the due date, but past the due time can be flagged as overdue, dependent on the grace period.
3) An implicit discharge does not occur for items charged offline, when the item is currently charged to another patron. The result is that the item is now charged to both patrons.
Consult with your vendor to be sure you are running the most current version of the software, and test the first two issues listed within. We are working with Sirsi to correct the third issue, but in the meantime, a daily report will be compiled that identifies and lists items with two or more charges. You can find this report on the reports web page in the "Special Daily Reports" section. It is labeled "Items with 2 or more charges".

FROM THE COMPUTER ROOM:
The CCS Computer Room will be short staffed this Friday 06/27/2014. CCS IT Systems Manager Jonathan Padilla will be in that day and will be attending the phones. We will also have other CCS Computer Room staff on call in case of an emergency.
Our server migration has been set. Tim Hine from SirsiDynix will be at the CCS location on July 15-16th, 2014 to install and set up the new production server. This setup will be hardware only. The planned date for the database migration to the new production server will be August 12th, 2014. This will give us some leeway to have our security consultant harden the server for any vulnerabilities or security holes that may exist. We will provide more detail about the specifics of the database migration after the new production server has been hardened.

None, but we hope to see some of you at ALA!
