JULY 10, 2009

FROM THE COMPUTER ROOM:
Patch Cluster 5 – Thanks to everyone out at the libraries who helped this patch to be installed. We know that it was deployed on a faster time frame than usual. You should see the improvement immediately in display of holdings in Workflows and in iBistro. You tested this quickly, arranged to download clients, put up with some delay in reports, responded to s-help and helped each other to get this up quickly. This was all done in the middle of summer reading program, vacations and one of the busiest summers on record. Amazing. Let’s hope that Patch Cluster 5 continues to work well for us.

CCS MEETINGS NEXT WEEK:

Sun., 7/12, 1-2 PM, Sirsi suite at Hyatt McCormick Place, Chicago: Sirsi ALA reception for CCS (suite number available at Sirsi exhibit booth)

Thur., 7/16, 9:30, NSLS: PAS

(Reminder to SCRAP: the scheduled July 15 meeting has been postponed a week to Wed., 7/22, 9:30 at CCS!)

FROM THE COMPUTER ROOM:

July 4th Holiday – The Computer Room will be closed on Saturday July 4 only. All normally scheduled jobs and reports will run this day.

Vacations
– we are taking vacations during July and August. Frank will be away starting today and all of next week.

Patch Cluster 5 – the latest patch cluster was implemented on the test server as soon as it was available on Wednesday July 1. Because of the number of complaints that we have all had about data display problems in iBistro and Workflows, we need to test this right away and. if it tests well, then deploy it as soon as possible. We will not be waiting for other Sirsi libraries to test it. PLEASE TAKE A FEW MOMENTS TO TEST THIS PATCH!! Tentatively, we would like to deploy the patch the morning of July 9. It does require a new Java client.

Directors Station
– we are still working with Sirsi on the data transfer problems with Directors Station as of this writing. We will keep you up to date via the DS listserv.

HAPPY HOLIDAY WEEKEND WISHES TO ALL FROM THE CCS STAFF!

CCS MEETING NEXT WEEK:

Wed., 7/8, 10:00, CCS: Executive Committee

(We also look forward to seeing many of you at ALA!)

JUNE 26, 2009

FROM THE COMPUTER ROOM:
Linda is on vacation this week and there is no dispatch from the department. It hardly feels right to have a week without a major upgrade lately. But your Editor has a list of things to consider now or look forward to in the coming year:

*Please work with the Computer Room on setting policies, properties and behaviors for Release 3.2.1, whether it’s hold wrapper printing, Ordered Hold Fill, etc.

*If you’re interested in Sirsi/ePay integration, work with the Illinois Treasurer’s Office (Joey Lau) to get your ePay account set up, then open a WonderDesk incident requesting our assistance.

*We’re still looking to load the fix for the Unavailable For Display software bug on July 9.

*We’re planning to install a new ICN router when we can get it scheduled.

*Major initiatives for July-June include a new mail/web server, selecting and at least beginning implementation of a new OPAC or whatever they’re called by then, going to Oracle and Unicode (with minimal down time and limitation of services according to Sirsi’s new plan), and loading Release 3.3 subject to its passing muster in the field elsewhere.

WORKSHOP IDEAS SOUGHT:

We’d like to stage three CCS workshops during FY09-10 (July-June). If you have suggestions, please convey them to Richard Shurman at CCS.

AUTHORITY NEWS:

This week more subject heading changes were done, including more Buddhist subject heading changes. Subject headings such as “Painting, Buddhist”, “Painting, Zen”, “Philosophy, Buddhist”, and “Monasteries, Buddhist” were all changed. They can now be found under: “Buddhist painting”, “Zen painting”, “Buddhist philosophy”, and “Buddhist monasteries”.

Another important enough change to report is the geographical heading change from “Transcaucasia” to “Caucasus, South”. This change also affected “Cookery, Georgian (Transcaucasian)”, which has been changed to “Cookery, Georgian (South Caucasian)”.

The last change to report on is the fictitious character heading of “Thorsen, Maggy (Fictitious character)”, which was changed from “Thorsen, Maggie (Fictitious character)”.

And on the horizon…I saw that in the next couple of weeks, LC is changing all “family” subject headings. The new subject heading is going to be “Families”. Stay tuned for further developments on this change.

Other news this week, I loaded 1399 updated authority records into our system that were obtained from Marcive, along with 403 new authority records that Marcive knew we needed, but were not available before.

FROM THE COMPUTER ROOM:
Upgrade season is over! Symphony is now running fairly smoothly and our new machine is running well. We are adapting to the new technology quickly and have trained the computer room staff how to use the components of the new machine. Early this week you discovered some reports were missing – this is because (unbeknownst to us) a new version of Perl was used on the new machine and all custom reports had to be revised. We made the revision to the full list of reports – but let us know particularly when the monthly reports are run in case we missed anything.

Residual upgrade problems – the intermittent problem where iBistro and Workflows fails to show data has been reported to Sirsi. They have repaired it and it will be in the next patch cluster tentatively planned for the end of the month. We can’t install those patches immediately, as they have to be tested by us and others first, but we will install this as soon as possible. This is a high priority, because we know everyone is very annoyed with the display problems. We sent an email memo on this topic out on June 18.

Tipping Point
– This is our new security appliance to keep us ever more safe from network intrusions. This appliance detects the latest software hacks and blocks them. Tipping Point was installed this morning (June 18).

Vacation Season is here!
– as much as we love it here, our staff is anxious to take a well deserved break from the office. Our email system does not let us alert you when we are out of the office – but our voice mail will tell you when we are away for more than a day. That is why it is VERY important to use the Wonderdesk to track requests and problems. Computer Room staff will be rotating vacations throughout the summer. Please alert us if you have any special projects and verify that we have the right staff in place to deal with any special requests. Planning is everything!

July 4th weekend – The computer room will be closed on July 4th all day. All libraries are closed that day. However, we will be staffed on Friday July 3, Sunday July 5 and Monday July 6 during normal hours. We have many libraries open those days.

EPAY – This has been implemented for Cary and others soon to follow. If EPAY is in your plans please see the CCS Web site for our information document.

WCL – We have made some progress for WorldCat Local sites and OCLC will be testing our file of adds and deletes for the participating trial libraries in the coming week.

FROM THE COMPUTER ROOM:
UPGRADE! - As you know the computer room has been nearly entirely focused on the machine upgrade for the last few days, actually weeks. We are looking forward to this fast new machine that is now nicknamed Mach5000. This is of course a team effort with lots of planning and preparation with our team at Sirsi and finally culminating in the “all night vigil”, with many trips to the computer room throughout by CCS staff and Sirsi. We have Bob Barth to thank for once again working with the Sirsi engineers and pulling us through the night, and Frank to thank for extra trips in to ensure all was well. The CCS Team was here early to test too. As you read this, we probably still need to catch up on a little sleep after the all night ordeal, so if you catch anyone nodding off at their desks, please be aware that we hope to get back to normal next week.

Linda

(P.S. Your Editor also wishes to commend the Computer Room staff, and the project team at Sirsi, for extraordinary diligence!)

SUBJECT HEADING NEWS:
The major change this week involves the subject heading of “College catalogs”. The heading has been changed to “Universities and colleges – Curricula—Catalogs”. All 31 records were just changed.

The other changes this week involve more Buddhist headings. The Library of Congress must be switching all those types of headings so that they are in direct order. So this week, headings like “Medicine, Buddhist” and “Gods, Buddhist” were changed to “Buddhist medicine” and “Buddhist gods”.

FROM THE COMPUTER ROOM:
Workflows machine upgrade – evening of June 10 - On the evening of June 10 (and through the night) we will be changing our Workflows server from a model Sun V890 to a Sun M5000.

Beginning at 9:15 pm on Wednesday June 10, iBistro, Workflows, SVA and Director’s Station will not be available. Some reports will run on Wednesday evening but the majority of reports will not be run until the next day. Transfers of data to Unique will not occur. Notices and statistics will be affected for that day. The Director’s Station data will not transfer and will be behind an extra day.

The new machine will have the same IP address as the old machine, so you do not have to make any adjustments in your network.

We plan to have the system operational by 8:00 am the morning of June 11 so that we can have a fairly normal day. The first report that will be run will be the Pick List and we plan for other reports to catch up during the day.

All correspondence about this upgrade will be via the System-status-l list and the s-help list.

You should NOT use the system for transactions on Thursday morning until we tell you that it is okay to do so. We hope to post the “ALL CLEAR” no later than 8am on Thursday morning (June 11).

Although we plan to have the system operational by the time libraries open, please be prepared to use your standalone procedures that morning “just in case”.

Linda

SUBJECT HEADINGS UPDATE AND OTHER AUTHORITIES NEWS:

This week, a few subject heading changes occurred in our database:

1. Depending on your author, please search for the fictitious character of Harry Brock, with either “Brock, Harry (Fictitious character : Ison)” or “Brock, Harry (Fictitious character : Roby)”

2. There was another subject heading change involving Buddhist – now it’s “Buddhist funeral rites and ceremonies” and was changed from “Funeral rites and ceremonies, Buddhist”.

3. The big change of the week (insert fanfare here) are for the peasants. The subject heading used to be “Peasantry” and is now “Peasants”.

Also, CCS sent 4168 bibliographic records to Marcive on Wednesday, June 3rd for Overnight Authorities Processing. The records have been processed and were reloaded into our system. Of the 4168 bibliographic records, Marcive returned 1565 updated bibliographic records. Marcive also sent us 2215 new authority records.

MAY 29, 2009

FROM THE COMPUTER ROOM:
Welcome to Symphony – With our latest upgrade we are now on SirsiDynix Symphony Release 3.2.1, Patch Cluster 4. Hopefully, by the time you read this all your client stations will be on the new release. Thanks for the many notes of encouragement that came to the computer room regarding this project. Finally, thanks for your patience on the day of the upgrade!

M5000
– We are preparing to cut our production workflows server over from a Sun 890 to a Sun M5000. The new server was installed last week and we are learning how to operate it and we are testing it. The Sirsi software will be installed soon, followed by some testing, including a timing test of how long our files will take to copy. We hope to switch machines the evening of June 10. This is a tentative date at this point.

Linda

SUBJECT HEADING CHANGES OF NOTE:

Last night in our CCS database, there were some subject heading changes that are important enough to report on. For those interested in Buddhist cave temples, use “Buddhist cave temples” instead of “Cave temples, Buddhist”.
On the lighter side, if one is interested in humor in business – use the subject heading of “Wit and humor in business” instead of “Humor in business”. This same type of change occurred also for advertising and education.

The biggest change is for headings that deal with workers from one country who work in another country. The former heading was “Alien labor” (and no, this wasn’t a heading about Martians coming to work on Earth), but now has been changed to “Foreign workers”. Similar headings like “Alien labor, Mexican” have been changed to “Foreign labor, Mexican”.

EXPIRATION DATES FOR NON-CCS RECIPROCAL BORROWERS:
On May 28, the Governing Board approved setting the expiration dates for non-CCS reciprocal borrowers with Profiles PUBLIC or OUTOFSTATE to three years from the date of registration (this will come up automatically during data entry) or the expiration date assigned by the patron’s home library if it is readily available, e.g., on the card or provided if/when the CCS library registering the reciprocal borrower calls the home library to verify the patron’s good standing. Chicago patrons (Profile CPCPUBLIC) already have an automatic expiration date two years from registration into the CCS database.

This was done to address the disparity whereby non-CCS reciprocal borrowers were given borrowing privileges much more open-ended than most CCS libraries are with their resident patrons.

On May 28, CCS ran a report that set the expiration date for PUBLIC and OUTOFSTATE patrons of May 28, 2012 if there was not already a date in the user record.

If you have questions about this, please contact Richard Shurman at CCS (before the essay test at 8:30 AM Monday).

CONGRATULATIONS to newly elected CCS officers (effective July 1) Janet Van De Carr, Vice President/President-Elect; Jim Scholtz, Secretary; and Diane McNulty, Executive Committee Member-At-Large. Executive Committee holdovers include Scott Davis, President; Kim Martens, Past President; David Seleb, Treasurer; and Mary Johns, Member-At-Large.
